What is the content calendar?

The content calendar is a visual view of every post in your workspace — past, scheduled, and in-progress — laid out on a weekly or monthly grid. It's where you go to see what's going out, when, and across which accounts, all at a glance.

You can also use it to reschedule posts (just drag them), create new ones (click any empty time slot), and review what's already been published.

Where to find it

Go to Dashboard → Posts. The calendar is the main view of the Posts page. You can switch between Weekly and Monthly views using the toggle near the top — your preference is saved automatically.

What you see on the calendar

Each post appears as a card on the day and time it's scheduled for, with:

- Platform icon (color-coded per platform)

- Thumbnail (first image or video, if any)

- Time in your selected time zone

- Status icon and color

- Post label (a colored dot, if you've tagged the post)

- Approval indicator showing how many approvers have signed off (e.g. 1/2 Approved)

Status colors at a glance:

- Blue: Scheduled

- Yellow: Rescheduled

- Green: Published

- Slate / dashed border: Draft

- Red: Cancelled

- Orange: Pending approval (waiting on approvers)

Hover a post to see a platform-specific preview of how it'll look once published.

Filtering

The calendar shows everything in the selected workspace by default. To narrow it down, use the filters at the top:

- Accounts: filter to one or more connected social accounts

- Status: scheduled, draft, published, cancelled, etc.

- Approval: pending approval, awaiting my approval, or all

- Label: posts you've tagged with a specific label

- Media type: text, image, or video

Filters can be combined — e.g. show only "scheduled posts on Instagram with the campaign label."

Drag-and-drop to reschedule

Click and drag any scheduled post to a new day or time slot to reschedule it. PostPlanify updates the schedule on the spot.

A few rules:

- Only Scheduled and Rescheduled posts can be dragged. Published and cancelled posts can't be moved.

- You can't drag a post into the past.

- Only workspace owners and editors can drag posts. Clients and viewers see the calendar but can't reschedule.

Creating a post from the calendar

Hover over any empty time slot to see a Create Post button. Clicking it opens the post composer with the date, time, and time zone already filled in — you just write the post and pick the accounts.

If you hover a slot that already has posts, you'll see a small + button to add another post for that time.

Quick actions on a post

Click a post on the calendar to open its action menu:

- Edit — open the post in the composer

- Duplicate — make a copy as a new draft

- Cancel — cancel a scheduled post

Workspace owners and editors see all three. Clients and viewers can only view and (for clients) approve.

Time zones

The calendar shows everything in the time zone you've selected at the top of the page (defaults to your system time zone). Changing the time zone display only changes how times are shown — it doesn't reschedule posts or affect when they actually publish.

Permissions

- Owner / Editor: full access — view, drag, edit, duplicate, cancel, and create posts

- Client: view the calendar and approve posts they're assigned to

- Viewer: read-only view of the calendar

Things to know

- The calendar is workspace-scoped. Switching workspaces shows that workspace's calendar.

- Editing your posting queue doesn't move posts that are already scheduled — only future queued posts use the new times.

- Calendar day notes (e.g. "campaign launch day") are a separate feature from post labels — they appear on the calendar header and don't attach to a specific post.

- The calendar is best used on desktop or larger screens. The full grid view is harder to navigate on a phone.
