What is the media library?

The media library is your central place to upload, organize, and reuse images, videos, and PDFs across all your social media posts. Anything you upload — or generate with the AI image tool — lives here, ready to drop into new posts without re-uploading.

Where to find it

Go to Dashboard → Media Library. The page shows everything you've uploaded inside the current workspace, organized into a grid (with thumbnails) or a list view.

Each workspace has its own media library. Files are scoped to the workspace they were uploaded in and aren't shared across workspaces.

What you can upload

Supported file types:

- Images: JPEG, PNG, GIF, WebP, HEIC

- Videos: MP4, MOV

- Documents: PDF

Limits:

- Maximum file size: 4 GB per file

- Image dimensions: minimum 200×200 px, maximum 4096×4096 px

- Video length: minimum 3 seconds, maximum 10 minutes

You can upload as many files as you want at once — there's no per-batch cap, and there's no plan-based storage cap on the workspace.

Note for iPhone users: HEIC photos from iPhone are automatically converted to JPEG when you upload them, so they'll work correctly on every platform that doesn't support HEIC.

PostPlanify also lightly optimizes uploaded images (downscales oversized ones and compresses to a high-quality JPEG) so posts publish faster without sacrificing visual quality.

How to upload

Click the "Upload" button in the top-right corner and pick files from your computer

You can drop a single file or dozens at once. Each upload shows a progress bar, and finished files appear in your library immediately.

Organizing with folders

Click New Folder to create a folder for grouping related assets — for example, "Brand assets," "Q4 campaign," or "Client logos." Folder names can be up to 50 characters.

To move files into a folder:

1. Click on "Select"

2. Select one or more media items

2. Click Move to Folder in the bulk action bar

3. Choose the folder

You can also remove items from a folder using the same bulk menu. Folders are flat — you can't create folders inside folders.

Renaming or deleting a folder doesn't delete the files inside it; the files just lose their folder label.

Organizing with tags

Tags are quick labels you can attach to any media item — useful when one asset belongs to multiple categories (e.g. a logo that's both "Brand assets" and "Q4 campaign").

To create or manage tags, click the Tags button at the top of the page. Tags come with 8 color options to keep them visually distinct.

To tag media items in bulk:

1. Select the items you want to tag

2. Click Add Tag in the bulk action bar

3. Pick the tag (or create a new one)

To filter by tag, click any tag chip at the top of the page. Click again to remove the filter. You can stack multiple tag filters at once.

Searching, filtering, and sorting

The library supports a few quick ways to find what you need:

- Type filter tabs: All, Images, Videos

- Search bar: matches filenames

- Tag filters: click tag chips to include

- Sort: Newest, Oldest, Largest, Smallest, Name A–Z, Name Z–A

- View toggle: switch between grid (waterfall thumbnails) and list (with metadata)

The total file count is shown at the top so you always know how much you have.

Using assets in posts

When you're creating a post, click "Media" inside the composer. The asset picker opens as a side drawer with the same search, filter, and view options as the main library page.

Select up to 10 assets per post and click Add — they'll be attached to the post immediately. The same asset can be reused in unlimited posts; selecting it doesn't remove it from the library.

AI-generated images

Images you create with PostPlanify's AI image generator can be saved into your media library and used like any other asset. AI image generation has a monthly limit that depends on your plan — for example, Scale includes 800 AI images per month. See your subscription settings for your current quota.

Renaming, moving, and deleting

Each media item has a menu with options to:

- Rename the file (changes the display name in PostPlanify; doesn't affect the original file)

- Move to a different folder

- Add or remove tags

- Delete

Deletion is permanent — there's no trash or recovery. If you delete a file that's used in a published post, the post on the platform is unaffected (the image is already on Instagram, Facebook, etc.), but the file disappears from the post inside PostPlanify.

Things to know

- Each workspace has its own library. Switching workspaces shows a different set of files.

- Folders are flat — no nesting.

- Maximum 10 assets per post when attaching from the library.

- Files are stored on AWS with CDN delivery, so they load quickly when previewing or publishing.

- Editing (crop, resize, add text) isn't done inside PostPlanify — edit in your design tool first, then upload the final version.
