Scheduled Reports Explained

Scheduled reports automatically generate and email branded PDF analytics reports to your team and clients on a recurring schedule. Set it up once, and PostPlanify delivers a fresh cross-platform performance report every week or every month — without you lifting a finger.

Plan availability

- Growth: not available

- Premium: scheduled reports with PostPlanify branding

- Scale: scheduled reports with full white-label branding (your accent color and custom footer text instead of "Generated by PostPlanify")

- Enterprise: same as Scale

If you're on Growth and want to use this feature, upgrade to Premium from Settings → Subscription -> "Customer Portal".

What's in each report

Every scheduled report is a branded PDF covering the most recent N days at the time it runs (a rolling window — you choose how far back to look, from 1 to 365 days; the default is 30).

Each report includes:

- Workspace name, report title, date range, and the social accounts covered

- Per-platform stats: followers, follower growth %, views, engagement rate

- A cross-platform summary table comparing all included accounts

- Top-performing posts with platform tag, caption, and engagement metrics

How to create a scheduled report

2. Click "Scheduled Reports" in the top-right corner

3. Click "New schedule"

4. Fill in the form:

- Name your schedule

- Choose the social accounts to include (or leave empty for "all current accounts")

- Set the lookback window (e.g. last 30 days)

- Pick frequency (Weekly or Monthly)

- Pick the day, time, and time zone

- Add recipients (workspace members and/or external emails)

- Optional: customize the accent color and footer text (Scale only)

5. Click Save

The schedule starts running immediately based on the cadence you set.

Frequency and timing

You can choose between Weekly or Monthly. There's no daily option.

- Weekly: pick a day of the week (Monday–Sunday) and a time

- Monthly: pick a day of the month (capped at the 28th to keep delivery consistent across months including February)

All times are sent in the time zone you choose. The next-run time is shown in your dashboard so you always know when the next report will go out.

Recipients

Each schedule can send to:

- Up to 50 workspace members (owners, editors, clients, viewers — anyone in your workspace)

- Up to 20 external email addresses (clients, board members, freelancers — anyone outside the workspace)

External recipients receive the same PDF and shareable link, but they don't need a PostPlanify account. Duplicate addresses across both lists are deduplicated automatically.

White-label customization (Scale only)

On the Scale plan, you can:

- Set a custom accent color used in headers and stat boxes

- Replace the default footer ("Generated by PostPlanify") with your own text (up to 120 characters)

This makes reports look like your own branded deliverable rather than a PostPlanify export. Useful for agencies and consultants reporting to clients.

Editing, pausing, and deleting

Open the Scheduled Reports drawer to manage existing schedules:

- Pause: toggle the switch on any schedule. Paused schedules don't fire until you resume them. When you un-pause, the next report runs at the next scheduled slot — there's no catch-up backfill.

- Edit: change the name, frequency, recipients, or any other field. Schedule timing resets to the next future slot after editing.

- Delete: remove a schedule permanently. Past report run history is kept for reference.

Things to know

- Each workspace can have up to 20 scheduled reports

- If a social account included in a schedule is later disconnected, it's silently skipped, the report still runs with the remaining accounts

- If a workspace member is removed, they're automatically removed from the recipient list

- Reports include data only from accounts that have synced analytics; if there's nothing to report, the schedule logs as "no data" but doesn't fail

- Only workspace owners and editors can create or edit scheduled reports
