A workspace is a self-contained space inside PostPlanify where you keep one set of social accounts, posts, analytics, and team members together. Think of it as a separate "container" for each brand, client, or project you manage.
If you only run one brand, you'll likely use a single workspace. If you manage multiple brands or clients, you can create a workspace for each one to keep their data fully separate.
What's inside a workspace?
Everything you do for one brand lives inside its workspace:
- Connected social accounts (Instagram, Facebook, LinkedIn, etc.)
- Scheduled, published, and draft posts
- Analytics and reports
- Media library (images, videos, folders, tags)
- Social inbox (comments, DMs, mentions)
- Link in Bio page
- Team members and their roles
- Saved replies, labels, and queue settings
Switching between workspaces gives you a clean view of just that brand's content — no mixing of accounts or posts across clients.
When should I use multiple workspaces?
Multiple workspaces are useful when you want to keep work fully separated:
- Agencies managing several clients
- Creators running more than one personal brand
- Businesses with distinct sub-brands or product lines
- Teams collaborating with different members on different brands
Each workspace has its own social accounts, its own team, and its own analytics — they never mix.
Workspace limits by plan
Each plan includes a different number of workspaces:
- Growth: 5 workspaces
- Premium: 15 workspaces
- Scale: 50 workspaces
- Enterprise: Unlimited

How to create a workspace
1. Go to Dashboard → Workspaces
2. Click "Create Workspace" in the top-right corner
3. Fill in the workspace name (required), and optionally add a logo, website, description, and target audience
4. Click "Create"
The new workspace appears in your sidebar selector immediately.
The optional description and target audience help PostPlanify's AI assistant write captions that match your brand's voice — fill them in if you plan to use AI features.
How to switch between workspaces
Click the workspace name (with the building icon) in your sidebar to open the workspace selector. Choose any workspace from the list to switch to it instantly. Your dashboard, posts, and analytics will reload to show only that workspace's data.
To manage all workspaces at once (rename, edit, delete), click Manage Workspaces at the bottom of the dropdown.
Adding team members
Each workspace has its own team. Inside a workspace:
1. Go to Workspaces → "Invite People"
2. Click "Invite Member" and enter their email and role
3. They'll receive an invite to accept
Roles control what each member can do:
- Owner: full control, including billing and workspace deletion
- Editor: create and edit posts (cannot connect or delete accounts)
- Client: review and approve posts, connect their own accounts
Team members can belong to different workspaces with different roles — for example, Editor in one workspace and Client in another.
Things to keep in mind
- Social accounts are scoped to one workspace. If you want the same Instagram account in two workspaces, you'd need to connect it separately in each one (and it would count twice against your social account limit).
- Inviting a member to one workspace does not add them to your other workspaces. Each workspace's team is managed independently.
- Billing is per account, not per workspace. One subscription covers all the workspaces you create, up to your plan's limit.
- Team member counts are account-wide. Your plan's team member limit (e.g. Growth: 3) applies across all your workspaces combined.
Deleting a workspace
Only the workspace owner can delete a workspace. To delete:
1. Open Workspaces from your dashboard
2. Click the workspace's settings icon
3. Choose Delete Workspace and confirm
Warning: this permanently removes all social accounts, posts, analytics, media, and team members in that workspace. It cannot be undone.
